Background Information

To change the working time for the entire organization, people in your organization must perform two sets of steps, which are:

·        The Project Server administrator must change the working schedule shown on the enterprise Standard calendar in the Enterprise Global file.

·        All project managers must change the Default Start Time, Default End Time, and Hours Per Day values as necessary in the Options dialog for every enterprise project.

Example: Suppose that your organization’s standard working schedule is a 7-hour workday from 9:00 AM – Noon and 1:00 – 5:00 PM Monday through Friday.

Resolution for the Project Server Administrator (Project Server 2002 and 2003)

To change the organization’s working time based on the above example, the Project Server administrator should complete the following steps to set the organization’s working schedule on the enterprise Standard calendar:

1.  Launch Microsoft Project Professional and log into Project Server with administrator permissions.

2.  Click Tools > Enterprise Options > Open Enterprise Global.

3.  Click Tools > Change Working Time.

4.  Select the Standard calendar from the pick list at the top of the dialog.

5.  Select the M through F column headers at the top of the calendar grid.

6.  Set your working schedule to 9:00 AM - 12:00 PM and 1:00 PM - 5:00 PM.

7.  Click the OK button.

8.  Save and close the Enterprise Global file.

9.  Exit and then relaunch Microsoft Project Professional.

Resolution for the Project Server Administrator (Project Server 2007 only)

To change the organization’s working time based on the above example, the Project Server administrator should complete the following steps to set the organization’s working schedule on the enterprise Standard calendar:

1.  Log into Project Web Access with administrator permissions.

2.  Click Server Settings - Enterprise Calendars.

3.  Select the Standard calendar and then click the Edit Calendar button.

The system launches Project Professional 2007 and displays the Change Working Time dialog for the enterprise Standard calendar.

4.  Click the Work Weeks tab and select the [Default] item on the first line of the Work Weeks data grid.

5.  Click the Details button.

6.  In the Details dialog, select the Monday through Friday items in the Select Days list.

7.   Set your working schedule to 9:00 AM - 12:00 PM and 1:00 PM - 5:00 PM.

8.  Click the OK button to close the Details dialog.

9.  Click the OK button to close the Change Working Time dialog.

Resolution for Each Project Manager (Project Server 2002, 2003, and 2007)

After the Project Server administrator changes the enterprise Standard calendar based on the example above, all project managers in the organization must perform the following steps in every project they manage:

1.  Open an enterprise project from the Project Server database in Project Professional 2002, 2003, or 2007.

2.  Click Tools - Options.

3.  Select the Calendar tab.

4.  Set the Default Start Time value to 9:00 AM.

5.  Set the Hours per day value to 7.

6.  Click the Set as Default button.

7.  Save and republish the project, and then close the project.

8.  Repeat steps #1-7 for every project.

The project managers must perform the preceding set of steps to "synch up" the schedule in the enterprise Standard calendar with the Calendar options in each enterprise project. If any project managers fail to perform the preceding set of steps, they will potentially see a “weird” schedule and “weird” Durations in their projects. Therefore, the preceding steps are an absolute requirement for every project manager.

Best Practice: To make sure that all future enterprise projects are set up correctly, the Project Server administrator should also perform the preceding set of 8 steps in each enterprise project template in the Project Server database.
