Solution for the Project Server Administrator

Project Server 2007 allows an organization to designate a proxy, such as the secretary, to enter progress on behalf of resources in a project. Before you can designate a proxy, the Project Server administrator must confirm that the secretary is an existing resource in the Enterprise Resource Pool. If not, add the secretary to the Enterprise Resource Pool. Assuming that the secretary will be the proxy for resources on every task in every project, the Project Server administrator must first do the following:

1.  Navigate to the Resource Center page in Project Web Access.

2.  Select the option checkbox for all of the resources for whom a proxy must enter progress.

3.  Click the Bulk Edit button.

4.  On the Bulk Edit page, click the Browse button for the Default Assignment Owner field.

5.  In the Pick Resource dialog, double-click the name of the secretary.

6.  Select the Apply Change checkbox to the left of the Default Assignment Owner field.

7.  Click the Save button.

Solution for Project Managers

The above set of changes will affect the selected resources in all future projects; however, it will not affect any current projects in the Project Server database. To change these projects, each project manager must open every project that he/she currently manages and complete the following steps in Project Professional 2007:

1.  Click Tools - Build Team from Enterprise.

2.  Add the secretary to the project team and click the OK button.

NOTE: The secretary MUST be on the project team in order to be a proxy for team members.

3.  Click View - Resource Usage.

4.  Right click on the column to the right of the Resource Name column and pick the Insert Column item on the shortcut menu.

5.  In the Column Definition dialog, select the Assignment Owner field and click the OK button.

6.  For each task assignment in which the secretary will serve as the proxy, select the secretary in the Assignment Owner column.

Note: In step #6 above, you can use the Fill Handle (like in Excel) to speed up the data entry.

7.  When finished, save and publish the project.
