Resolution

If your organization does not use Managed Time Periods with Project Server 2003, you can use a custom Assignment view in Project Web Access to determine which resources have not submitted actuals during the current reporting period. To create this new custom view, the Project Server administrator should do the following:

1. Log into Project Web Access with administrator permissions

2. Click Admin – Manage views

3. Click the Add View button

4. Select the Assignment option

5. Give the custom view a name such as Timesheet Compliance

6. Add the following fields to the Displayed fields list in the following order:

  • Task Name
  • Submitted On
  • PM Accept?
  • Status
  • Project
  • Resource Name
  • Start
  • Finish

7. Set the default sorting to Sort by Resource Name and Then by to Project

8. Add this view to the My Organization and My Projects categories

9. Click the Save Changes button

After the Project Server administrator creates this custom Assignment view, Project Managers (and others can apply the view by completing the following steps:

1. Log into Project Web Access

2. Click the Resources menu

3. Click the View resource assignments link in the sidepane on the left

4. Select the Timesheet Compliance view from the Select a view drop-down list in the upper right corner of the page

5. Select the resources whose timesheets will be examined and then click the Apply button

6. In the sidepane on the left, select the Timesheet format option and the Current Assignments option

7. Click the View options tab and select the "Show scheduled work" option

8. Click the Save Link button and give the custom layout a name, such as Timesheet Compliance for My Team Members

In the future, project managers can reapply this custom view simply by clicking its link in the Saved Links section at the top of the sidepane for the Resource Center page.

When a Project Manager examines this custom view, the Submitted on, PM Accept?, and Status columns contain the relevant information about timesheet compliance, and the timesheet itself contains additional supporting information. Following is how the custom view displays the relevant timesheet compliance information:

·        If a team member has submitted an update for the previous time period and the project manager has updated the changes, the date they submitted the update appears in the Submitted on column, "Accepted" appears in the PM Accept column, and "No change since last update" appears in the Status column.

·        If a team member has submitted an update but the project manager has not yet approved the update, the date they submitted the update appears in the Submitted on column and "Changes submitted" appears in the Status column.

·        If a team member saved the timesheet changes but has not submitted them to the project manager yet, "NA" appears in the Submitted on column and "Changes not yet submitted" appears in the Status column.

·        If a team member failed to enter progress during the current reporting period, the timesheet grid will show Work scheduled during that time period but will not show any Actual Work for a task.
