Why do project managers see different projects in Project Professional 2007 than they see in Project Web Access?

Microsoft Project Server Frequently Asked Questions (FAQs): Overview

Microsoft Project Server Frequently Asked Questions (FAQs): Details

Background Information

Project Server 2007 has different two of permissions for projects. One set of permissions is for projects access through Project Professional 2007, while the other set is for projects accessed through the Project Center page in Project Web Access. By using custom Groups and/or Categories, the Project Server administrator can force the system to display one set of projects for project managers in PWA, and a different set of projects in Project Professional 2007.

Resolution

To learn about these two different sets of permissions for projects, complete the following steps:

1.  Log into PWA with administrator permissions.

2.  Click Server Settings - Manage Groups.

3.  Click the Project Managers group to open it for editing.

4.  In the Categories section of the Add or Edit Group page, click the My Projects category so that the system shows the Permissions for My Projects data grid.

In the Project section of the Permissions grid, the following permissions are specifically for projects accessed through Project Professional 2007:

  • Delete Project
  • Open Project
  • Publish Project
  • Save Project to Project Server
  • Save Protected Baseline

The above set of permissions determine which projects a PM can open, save, baseline, publish, or even delete in Project Professional 2007.

In the Project section of the Permissions grid, the following permissions are specifically for projects accessed through the Project Center page in PWA:

  • Edit Project Properties in Project Center
  • Manage Resource Plan
  • View Project Details in Project Center
  • View Project Summary in Project Center

The above set of permissions determine which projects a PM can see in the Project Center page, and on which the PM can edit the Project Properties, create and manage a Resource Plan, and see the project details in a Project Details view.

5.  Click the Cancel button exit the page without saving any changes.

If you are using custom Groups and/or Categories, then it would be entirely possible for your project managers to see one set of projects when they click File - Open in Project Professional 2007, and to see a different set of projects in the Project Center page in PWA. For an example of this behavior, refer to the following FAQ about how to set up Read-Only access for project managers for those projects in which they are team members but not the project manager:

Set Read-Only Access to Projects in Which the PM is Only a Team Member
