Prevent Project Managers from editing projects for which they are a team member only

Microsoft Project Server Frequently Asked Questions (FAQs): Overview

Microsoft Project Server Frequently Asked Questions (FAQs): Details

Background

You want to adjust Project Server security so that a Project Manager can edit projects for which they are the project manager but limit their ability to open and edit projects for which they are only a Team Member.

Resolution

Follow these steps to enable this security scenario:

  1. Log into PWA with administrator permissions.
  2. Click Server Settings - Manage Categories.
  3. Click the My Projects category to open it in editing mode.
  4. In the Projects section, deselect the following options:
-- The User is on that project's Project Team.
-- A resource on the project's Project Team is a descendant of the User via RBS option.
  5. Click the Save button.

The first set of steps will now allow a PM to open Read/Write only his/her own projects.  He/she won't be able to see or open the projects in which he/she is a team member.  Next, create a custom Category by completing the following steps:

  1. On the Manage Categories page, click the New Category button.
  2. Name the new Category something like "My Projects as Team Member."
  3. In the Users and Groups section, add the Project Managers group.
  4. In the Permissions grid for the Project Managers group, set the "Open project" permission to Allow.
  5. Click the Save button.

This new Category will now allow your PMs to see and open Read-Only any projects in which they are a team member but are not the project manager.
