Background Information
Project Server offers two methods for managing
nonworking time for resources in your organization:

Personal calendars in the Enterprise Resource Pool
·
Administrative projects
If you want Project Server to automatically reschedule
project work around nonworking time periods, such as vacation and sick leave,
you
must enter each nonworking time instance on the resource’s personal
calendar in the Enterprise Resource Pool. If you want to track and report on
nonworking time, but do not care about the automatic rescheduling of work, you
may use Project Server’s built-in Administrative project for this purpose. You
cannot do both, however, so determine how you need to manage nonworking
time and then select one of the above.
Note:
msProjectExperts recommends as a best practice that you use the Enterprise
Resource Pool for managing planned
nonworking time, such as vacation and personal leave, and that you use an
Administrative project to manage
unplanned nonworking time, such as sick leave. You can also use an
Administrative project to manage unplanned work as well.
Resolution using the
Enterprise Resource Pool
The Project Server administrator (or Resource Pool
administrator) should perform the following steps to enter nonworking time in
the Enterprise Resource Pool:
1. Launch
Microsoft Project Professional and log into Project Server with administrator
permissions
2. Click Tools >
Enterprise options > Open Enterprise Resource Pool
3. Select the
resources with nonworking time and then click the Open/Add button
4. Double-click a
resource's name
5. Select the
Working Time tab
6. Select the
dates of the vacation or sick leave days on the calendar, and then select the
Nonworking time option
7. Click the
Notes tab and add a note to document the nonworking time instance
8. Click OK
9. Repeat steps
#4-8 for each resource with nonworking time
10. Save and
close the Enterprise Resource Pool
Note:
There is no automatic way for resources to enter their own nonworking time in
the Enterprise Resource Pool. Only those with administrator permissions can
perform the steps detailed above.
Resolution using an
Administrative Project
Anyone with permissions to create an Administrative
project should do the following:
1. Launch
Microsoft Project Professional and log into Project Server
2. Click File >
New
3. In the New
Project sidepane on the left, click the “On my computer” link
4. Click the
Enterprise Templates tab
5. Select the
Administrative Time template and click OK
6. Click Project
> Project Information
7. Set the Start
date for the Administrative project and then click the OK button
8. Select the ID
numbers of any nonworking tasks you do not wish to track and press the Delete
key
9. Click Tools >
Build Team from Enterprise
10. Add resources
to the project team, as needed, and click the OK button
11. Click the
Assign Resources button on the Standard toolbar
12. Select a
nonworking task, select one or more resources in the Assign Resources dialog,
and then click the Assign button
13. Repeat step
#12 for every task in the project
14. Click View >
Gantt Chart
15. Save the
project
16. Publish the
project using Collaborate > Publish > All Information
