Resolution

In the default installation of Project Server, the only existing project Version in the system is the Published version. To use alternate project Versions in Project Server, the Project Server administrator must create at least one alternate Version by completing the following steps:

1. Log into Project Web Access with administrator permissions

2. Click Admin > Manage Enterprise Features

3. Click the Versions link in the sidepane on the left

4. Click the Add Version button

5. Enter the name for the new Version in the Version field (such as Target, for example)

6. In the Gantt Bar Name field, select any Gantt bar name other than Project Summary to display a unique color for the version in the Project Center page

7. Click the Save Changes button

Step #6 above forces Project Server to display the Gantt bar for the alternate Version in a different color than the Published version. For example, if the Project Server administrator selects Project Summary Version 1 for the Gantt Bar Name, Project Server displays the alternate Version using a teal colored Gantt bar in the Project Center page, while the Published version displays a blue Gantt bar

In the Project Server Sample Database, Microsoft uses an alternate Version called Target. This Version shows the original state of the project after the project manager baselines the project, but before the project manager updates actuals into the project. Using a Version such as Target, at project completion you can use the Compare Project Versions tool in Microsoft Project Professional (click View > Toolbars > Compare Project Versions) to compare the Target version of the project with the Published version to see all changes made during the life of the project.

To save an alternate version of a project, the manager of the project must do the following:

1. Launch Microsoft Project Professional and log into Project Server with Project Manager permissions or higher

2. Open the Published version of any project

3. Click File - Save As

4. Click the Version pick list and select an alternate Version

5. Click the Save button

6. Click Collaborate - Publish - Project Plan

Step #6 above is a mandatory step which causes Project Server to display the alternate Version of the project in the Project Center page. Unlike with the Published version of any project, you must publish the alternate Version of the project or else the system will not display it in the Project Center page.
