How do I use a Team resource in an enterprise project?

Microsoft Project Server Frequently Asked Questions (FAQs): Overview

Microsoft Project Server Frequently Asked Questions (FAQs): Details

Background Information

Microsoft created Team resources to allow project managers to assign a team of resources to a task without actually naming the resources. Before you can use Team resources, your Project Server administrator must actually create one or more Team resources in the Enterprise Resource Pool and indicate which resources are a part of the team represented by each Team resource. To learn how to create a Team Resource, refer to the following FAQ:

Create a Team Resource

After your Project Server administrator creates Team resources in your organization’s Enterprise Resource Pool, you can add them to your project team using Tools > Build Team from Enterprise. You can assign Team resources to tasks using either the Task Entry view or the Assign Resources dialog.

When you publish a project with a Team resource assigned to tasks in the project, the Team tasks appear on the Team Tasks page of each resource that is represented by the Team Resource. Team members can access the Team Tasks page by clicking the Self-Assign Team Tasks button on the My Tasks page. From there, the resource can select the tasks on which he/she will work and then click the Assign Task to Me button. This action removes the selected Team tasks from the Team Tasks page for all team members and moves the selected Team tasks to the resource's My Tasks page, so that he/she can report progress toward the selected Team tasks.

NOTE: The exception to the information in the above paragraph is the behavior of Team tasks when a member of the Project Managers group is a member of the team represented by the Team resource. In the project manager's case, the Team tasks appear on the My Tasks page of the project manager.

When a resource self-assigns a Team task from an enterprise project, the system sends a Team Reassignment Request to the project manager, who must approve the self-assignment. After approval, the system replaces the Team resource with the self-assigned resource in the enterprise project. When the team member submits a task update on a team task, and the PM approves the update, the system shows the Actual Work hours for the self-assigned resource in the enterprise project.
