Change the Owner and Manager in Project Server 2002 and 2003

Background Information

Microsoft Project Server 2002 and 2003 uses two fields to track the leadership of any enterprise project. The Owner field lists the person who created the project and saved it initially in the Project Server database. The Manager field lists the person who initially published the resource assignments in the project using Collaborate - Publish - New and Changed Assignments or Collaborate - Publish - All Information. The Manager of a project is the person to whom Project Server directs task updates from team members. Depending on your needs, you can change either the Owner of the project, the Manager of the project, or both the Owner and Manager of the project.

Note: The Owner field displays by default in the Summary view on the Project Center page in Project Web Access. The Manager field displays by default in the timesheet on each user's View My Tasks page in Project Web Access. Your Project Server administrator should add the Manager field to the Summary view on the View Resource Assignments page.

Change the Owner

Depending on your Project Server security settings, you may need to change the Owner of the project to the name of the new Manager of the project, so that he/she can access the project in Microsoft Project Professional. To change the Owner of any enterprise project, the Project Server administrator must complete the following steps:

1. Log into Project Web Access with administrator permissions.

2. Navigate to the Project Center page.

3. Select the row header for the project in question.

4. Click the Edit button.

5. Click the Owner pick list button and select the new Owner of the project.

6. Click the Save and Close button.

Change the Manager

To change the Manager of the project, the new project manager must complete the following steps:

1. Open the project in question.

2. Click Collaborate - Publish - Republish Assignments.

3. Select the "Entire project" option at the top of the dialog.

4. Select the "Become the manager for these assignments" option at the bottom of the dialog.

5. Click OK.

Completing the last four steps redirects all task updates from the former Manager to the new Manager for the project. If you changed the project Manager temporarily, such as when you take over a project for a manger that is on vacation, the original manager must complete the above steps when he/she returns from vacation.

Note to Project Server 2002 Users Only: Before using the above procedure, confirm that the current Manager has no outstanding updates for his/her project on the Updates page in Project Web Access. If any updates are present for the project, he/she must process these updates into the project plan and publish project changes before you take over as the Manager of the project.

Change the Owner and Status Manager in Project Server 2007 Only

Background Information

Microsoft Project Server 2007 uses two fields to track the leadership of any enterprise project. The Owner field lists the person who created the project and saved it initially in the Project Server database. The Status Manager fields lists the person who initially published the resource assignments in the project using File - Publish. The Status Manager is the person who receives task updates in PWA from team members assigned to the tasks in the project. Depending on your needs, you can change either the Owner of the project, the Manager of the project, or both the Owner and Manager of the project.

Change the Owner

Depending on your Project Server security settings, you may need to change the Owner of the project to the name of the new Status Manager of the project, so that he/she can access the project in Project Professional 2007. To change the Owner of any enterprise project, the Project Server administrator must complete the following steps:

1. Log into Project Web Access with administrator permissions.

2. Navigate to the Project Center page.

3. Select the row header for the project in question.

4. Click the Edit Project Properties button.

5. Click the Owner pick list button and select the new Owner of the project.

6. Click the Save button and then click the Cancel button to return to the Project Center page.

Change the Status Manager

To change the Status Manager of the project, the new project manager must complete the following steps:

1. Open the enterprise project in question in Project Professional 2007.

2. Apply any Task view, such as the Gantt Chart view.

3. Right-click on the column header to the right of the Task Name column and select Insert Column from the shortcut menu.

4. In the Column Definition dialog, click the Field Name pick list, select the Status Manager field, and click the OK button.

The system inserts the Status Manager field to the right of the Task Name field.

5. Click the Status Manager pick list and select your name from the list for every regular task that you must manage.

Note: You do not need to change the Status Manager value for summary tasks.  In addition, keep in mind that the Status Manager pick list includes the names of all other Status Managers in the project, plus your own name. If you are the third manager to open the project, for example, the Status Manager pick list includes the names of the first two managers, along with your name.

6. Click File > Publish to publish the project changes, and then save and close the enterprise project.

Depending on your needs, you can change either the Owner of the project, the Manager of the project, or both the Owner and Manager of the project.

To change the Owner of any enterprise project, the Project Server administrator must complete the following steps:

1. Log into Project Web Access with administrator permissions.

2. Navigate to the Project Center page.

3. Click the Project Information link at the top of the Quick Launch Menu on the left side of the page.

4. Click the Edit button in the Project ribbon.

5. Click the Browse button for the Owner field, select the new Owner, and then click the OK button.

6. Click the Save button.

7. Click the Close button and then when prompted, click the Yes button to check in the project.

Change the Status Manager

To change the Status Manager of the project, the new project manager must complete the following steps:

1. Open the enterprise project in question in Project Professional 2010.

2. Apply any Task view, such as the Gantt Chart view.

3. Right-click on the column header to the right of the Task Name column and select Insert Column from the shortcut menu.

4. Select the Status Manager field from the list of available fields.

The system inserts the Status Manager field to the right of the Task Name field.

5. Click the Status Manager pick list and select your name from the list for every regular task that you must manage.
