How do I check in enterprise projects and enterprise resources?

Microsoft Project Server Frequently Asked Questions (FAQs): Overview

Microsoft Project Server Frequently Asked Questions (FAQs): Details

Background Information

Sometimes projects or resources can become "stuck" in a checked out on the Project Server database. This can occur because of a system crash, a loss of connectivity with your corporate network, or for an unknown reason.

Resolution for Project Managers (Project Server 2003 only)

Project managers can check in their own checked out projects by completing the following steps:

1. Log into Project Web Access with project manager permissions.

2. Click the Projects menu to navigate to the Project Center page.

3. Click the Check in my projects link in the sidepane on the left.

4. In the data grid, select the checked out project and click the Check-In button.

Resolution for Administrators (Project Server 2002 or 2003)

Project Server administrators can check in projects and resources that are stuck in a checked out state by completing the following steps:

1. Log into Project Web Access with administrator permissions.

2. Click Admin > Manage Enterprise Features.

3. Click either the Check-in Enterprise Resources link or the Check-in Enterprise Projects link in the sidepane.

4. In the data grid, select the checked out project or resource and click the Check-In button.

Resolution for SQL Server DBA's (Project Server 2002 or 2003)

Projects can occasionally become stuck in a checked out state, but they do not show up in the data grid using either set of above steps. In this case, a SQL Server DBA must perform the following steps to check in the project:

1. Launch the Microsoft SQL Server Enterprise Manager.

2. Select and open the Project Server database.

3. Select the MSP_PROJECTS table and open it.

4. Locate the checked out project.

5. Set the value in the PROJ_CHECKEDOUT field to 0 (zero) for the project.

Note: For a resource that is stuck in a checked out state, open the MSP_RESOURCES table and set the RES_CHECKEDOUT field value to 0 for the checked-out resource.

Resolution for Project Managers (Project Server 2007 only)

Project managers can check in their own checked out projects by completing the following steps:

1. Log into Project Web Access with project manager permissions.

2. Click the Project Center link in the Quick Launch menu.

3. On the Project Center page, click the Go To menu button and click the Check in my projects item.

4. In the data grid, select the option checkbox for the “stuck” checked out project and click the Check In button.

Resolution for Administrators (Project Server 2007 only)

Project Server administrators can check in projects and resources that are stuck in a checked out state by completing the following steps:

1. Logon to Project Web Access with administrator permissions.

2. Click the Server Settings link in the Quick Launch menu.

3. Click the Force Check-in Enterprise Objects link in the Database Administration section.

4. Click the pick list at the top of the page and select either Enterprise Projects or Enterprise Resources from the list.

5. In the data grid, select the option checkbox for the “stuck” item(s) and click the Check In button.

Resolution for SQL Server DBA's (Project Server 2007 only)

Projects can occasionally become stuck in a checked out state, and the Project Server administrator cannot check in the projects using the Project Web Access interface. In this case, a SQL Server DBA must perform the following steps to check in the project:

1. Launch the SQL Server Management Studio application and connect to the server containing the Project Server 2007 databases.

2. Expand the Databases folder and then expand the Draft database folder for your production Project Server 2007 instance.

3. Expand the Tables folder for the Draft database.

4. Right-click on the dbo.MSP_PROJECTS table and select the Open Table item.

5. In the database table, select the name of the "stuck" project in the PROJ_NAME column.

6. Tab to the right until you locate the PROJ_CHECKOUTBY field.

7. In the PROJ_CHECKOUTBY field, select the Unique ID currently in the field and enter NULL in the field instead.

8 Press the Enter key or Tab key to complete the data change.
